Presenting your message
Keep your message short, to the point, and don’t repeat yourself. A good opening message will only need 5-15 minutes. Beyond that, you are lecturing people — their retention rate will drop dramatically. The standard format to follow is:
Tell them what you are going to say, i.e. “Today we are meeting about the internal communications. Let me tell you about the main objectives of this meeting”
Tell them, i.e. “My main concern about internal communications is….. The objectives of this meeting are….”
Tell them what you told them, i.e. “This is our chance to really enhance the level of communication and support cross team collaboration at the same time”
Using audio visuals
Use audio-visuals sparingly. Avoid long lists of bullet points on the screen or small type. You don’t need to reproduce what is on your handouts or what you are saying on the screen – go brief! If you are going to discuss a point at length, turn the screen to black.
The use of handouts
Handouts can be a great way to convey a lot of information. Keep them brief! In fact, people are far more likely to read your handoutss if they are short. Use large, readable fonts, and break-up the page with graphics or pictures.
